DentVita is a dental clinic established and operating in Antalya, Türkiye. We provide dental assessment, diagnosis, treatment and aftercare directly through authorised dental professionals.

We are not a patient-referral or intermediary agency.

2. Information we collect

The information we collect depends on how you communicate with us and which services you request.

Identity and contact information

We may collect:

  • your name and surname;
  • date of birth;
  • nationality;
  • telephone and WhatsApp number;
  • email address;
  • home address;
  • country and city of residence;
  • preferred language;
  • emergency contact details;
  • passport or identity information where required for patient registration, travel arrangements or legal obligations.

Dental and health information

We may collect health information that you provide to us or that is created during your assessment and treatment, including:

  • panoramic and periapical X-rays;
  • CBCT and tomography scans;
  • photographs of your teeth, mouth, face and smile;
  • dental and medical history;
  • previous treatments;
  • chronic medical conditions;
  • allergies;
  • medications;
  • pregnancy status where relevant;
  • treatment plans;
  • clinical notes;
  • prescriptions;
  • laboratory and imaging results;
  • records of treatment, healing and aftercare.

Health information is sensitive personal data and is given additional protection.

A treatment plan or quotation prepared from photographs, X-rays or messages sent remotely is a preliminary assessment. A final diagnosis and treatment plan can only be confirmed following an examination by one of our dentists.

Communication information

We may process the content of communications you send to us through:

  • WhatsApp;
  • email;
  • website forms;
  • telephone;
  • SMS;
  • live chat;
  • Instagram, Facebook and other social-media platforms.

This includes any photographs, X-rays, documents and messages you choose to send.

Payment information

We may collect:

  • payment amounts;
  • deposits and outstanding balances;
  • bank-transfer information;
  • transaction references;
  • invoice details;
  • receipts;
  • refund records.

Card payments may be processed by a bank or authorised payment provider. We do not intentionally store complete payment-card numbers in our patient records.

Travel information

Where you ask us to help arrange your visit to Antalya, we may collect:

  • flight details;
  • arrival and departure dates;
  • hotel information;
  • airport and hotel transfer details;
  • pick-up location;
  • details of an accompanying person;
  • information required for a visa invitation or support document.

Website information

When you visit our website, we may collect:

  • date and time of visits;
  • referring website;

CCTV

Our clinic may use CCTV in appropriate public and administrative areas for patient, staff and premises security.

CCTV is not used in treatment rooms, toilets or other areas where individuals reasonably expect privacy.

  • when you send photographs, X-rays or documents through WhatsApp, email or our website;
  • during your examination, treatment and aftercare;
  • from a parent, guardian or authorised person acting on your behalf;
  • from dentists, laboratories, imaging centres, hospitals or other healthcare providers involved in your care;
  • from hotels, transfer companies or other providers where you ask us to arrange those services;
  • automatically through cookies and similar website technologies.

4. Why we use your information

We may use your personal data to:

  • respond to your questions;
  • review photographs and X-rays;
  • provide a preliminary treatment assessment and quotation;
  • arrange appointments;
  • register you as a patient;
  • provide dental examination, diagnosis and treatment;
  • prepare and maintain your treatment records;
  • communicate treatment instructions and appointment reminders;
  • provide follow-up and aftercare;
  • process payments and issue invoices;
  • arrange airport transfers, accommodation or translation where requested;
  • communicate with dental laboratories and other healthcare professionals;
  • comply with healthcare, tax and other legal obligations;
  • investigate complaints or defend legal claims;
  • protect the security of our clinic, patients, staff and information systems;

  • send marketing communications where you have separately agreed;
  • measure the performance of our advertising where you have accepted the relevant advertising technologies.

5. Legal grounds for processing

Under Turkish Personal Data Protection Law No. 6698, known as the KVKK, we process personal data on one or more of the following grounds:

  • processing is necessary to respond to your request or establish and perform a treatment or service agreement;
  • processing is required to comply with a legal obligation;
  • processing is expressly required or permitted by law;
  • processing is necessary for our legitimate interests, provided that your fundamental rights are not harmed;
  • processing is necessary for medical diagnosis, treatment and care by authorised healthcare professionals subject to confidentiality obligations;
  • you have given separate explicit consent where consent is required.

In particular:

  • health information sent before treatment for a remote preliminary assessment is normally processed with your explicit consent under Article 6(3)(a) of the KVKK;
  • health information required for diagnosis, treatment and aftercare is processed under Article 6(3)(e) of the KVKK;
  • photographs, videos and testimonials used for advertising are processed only with separate explicit consent.

Where EU or UK data protection law applies to a particular activity, we also rely on the corresponding legal grounds available under that legislation.

6. WhatsApp and other communication platforms

You may contact us through WhatsApp, email or social-media platforms.

These platforms are operated by third-party companies and may process technical and account information under their own privacy policies.

When contacting us:

  • send only information relevant to your enquiry or treatment;
  • do not send passwords or complete card information;
  • make sure that you are communicating with an official DentVita account;
  • tell us promptly if you sent information by mistake.

Relevant messages, photographs, X-rays and documents may be transferred from WhatsApp or another communication platform into your enquiry or patient record.

Access to our official communication accounts is limited to authorised personnel.

We do not sell or provide your WhatsApp number, telephone number or messaging consent to other companies for their own marketing.

7. Who we share your information with

Where necessary, we may share limited personal data with:

  • dentists, dental nurses and other authorised clinic personnel;
  • consulting doctors, anaesthetists and healthcare providers involved in your care;
  • dental laboratories producing crowns, bridges, dentures, implants or other dental work;
  • imaging centres;
  • hospitals and emergency services;
  • payment providers, banks and accountants;
  • website, email, cloud-storage, patient-management and technical-service providers;
  • hotels, translators, drivers and transfer companies where requested by you;
  • insurers or authorised representatives;
  • lawyers, insurers and professional advisers;
  • the Turkish Ministry of Health, tax authorities, courts and other competent public authorities where required by law;
  • analytics and advertising providers, subject to your cookie and consent choices.

We share only the information reasonably required for the relevant purpose.

We do not sell personal data or health data.

We do not send X-rays, CBCT scans, clinical photographs, diagnoses, medical histories, treatment plans or clinical records to advertising providers for advertising targeting.

8. Photographs, videos and testimonials

We may take or receive photographs and videos for clinical purposes, including:

  • assessment;
  • treatment planning;
  • clinical documentation;
  • communication with a dental laboratory;
  • monitoring treatment and healing;
  • aftercare.

Clinical use does not automatically permit advertising use.

We publish identifiable before-and-after photographs, videos, testimonials or treatment stories only where you have signed a separate and specific consent form.

You are not required to agree to promotional use.

Refusing promotional consent will not affect:

  • your treatment;
  • your treatment price;
  • your treatment plan;
  • the quality of care you receive.

You may withdraw promotional consent at any time. We will stop future use and remove the material from websites and social-media accounts under our control within a reasonable period.

We may not be able to remove copies independently saved, republished or shared by other people or platforms.

9. Cookies and advertising measurement

Our website uses cookies and similar technologies.

Strictly necessary cookies help the website operate securely and remember your privacy choices.

Analytics and advertising technologies are used only where the required consent has been obtained.

Where you have accepted advertising measurement, we may provide Google Ads with limited information such as:

  • a SHA-256 hashed version of the telephone number or email address entered in an enquiry form;
  • an advertising click identifier, such as a GCLID;
  • the date of an enquiry;
  • a general conversion status, such as whether an enquiry or appointment was completed.

This information helps us understand whether an advertisement resulted in an enquiry or appointment and measure the performance of our advertising.

Hashing reduces the visibility of the original contact information but does not make the information fully anonymous.

We do not send Google or other advertising providers:

  • X-rays;
  • clinical photographs;
  • diagnoses;
  • medical or dental histories;
  • medication details;
  • treatment notes;
  • detailed treatment plans;
  • other clinical records.

Our advertising event names are designed not to reveal a particular diagnosis, medical condition or requested treatment.

10. International transfers

DentVita is established and operates in Türkiye.

If you contact us from another country, the information you send is received and processed in Türkiye.

Some providers we use, including communication, hosting, cloud, analytics or advertising providers, may store or process information outside Türkiye.

Where personal data is transferred outside Türkiye, we comply with Article 9 of the KVKK and use an applicable legal transfer method, such as:

  • a valid adequacy decision;
  • a standard contract;
  • another legally recognised safeguard;
  • an applicable statutory exception.

Where EU or UK data protection law applies, we also use the transfer safeguards required under the relevant legislation.

11. How long we keep your information

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected and for any period required by law.

Enquiries that do not lead to treatment

Contact information, messages, X-rays and photographs relating to an enquiry that does not lead to treatment are normally retained for up to 24 months after the last meaningful contact.

They may be deleted earlier where appropriate and where no legal, contractual or dispute-related reason requires continued retention.

Patient records

If you receive treatment, your patient and clinical records are retained for the periods required under applicable Turkish healthcare and record-retention legislation.

Records may be kept longer where necessary for:

  • patient safety;
  • continuity of care;
  • an ongoing complaint;
  • a legal claim;
  • a regulatory investigation.

Financial records

Invoices, payment and accounting records are retained for the periods required by Turkish tax and commercial legislation.

CCTV

CCTV recordings are normally retained for approximately 14days, unless a recording is required to investigate an incident or legal matter.

When a retention period ends, personal data is deleted, destroyed or anonymised in accordance with our procedures.

12. How we protect your information

We use reasonable administrative, technical and physical measures to protect personal data.

These may include:

  • limiting access to authorised personnel;
  • confidentiality obligations;
  • password-protected systems;
  • secure storage and backups;
  • access controls;
  • secure disposal of paper and electronic records;
  • data-protection requirements for service providers.

No website, email or messaging platform can be guaranteed to be completely secure. Please take reasonable care when sending sensitive information online.

13. Your rights

Under Article 11 of the KVKK, you may have the right to:

  • learn whether we process your personal data;
  • request information about how it is processed;
  • learn the purpose of processing;
  • learn the persons or organisations to whom it has been transferred;
  • request correction of incomplete or inaccurate information;
  • request deletion or destruction where the legal conditions are met;
  • request that corrections or deletions are communicated to relevant recipients;
  • object to a result produced solely through automated analysis;
  • request compensation where unlawful processing causes damage.

Where EU or UK data protection law applies, you may also have additional rights, including access, restriction, data portability, objection and withdrawal of consent.

These rights are subject to legal conditions. For example, we may be required to retain an accurate clinical record even if deletion is requested.

Requests under the KVKK are handled as soon as possible and no later than 30 days, subject to the applicable legal procedure.

You may also submit a complaint to the Turkish Personal Data Protection Authority in accordance with the application and complaint procedure under the KVKK.

15. Changes to this Privacy Policy

We may update this Privacy Policy where our services, systems, suppliers or legal obligations change.

The latest version will be published on our website with the updated date shown at the top.
